1. Introduction

These Terms & Conditions govern the supply of equipment hire and event production services by Pro Audio Services & Hire Ltd (“we”, “us”, or “our”). By booking our services, hiring equipment, or confirming a quotation, you (“the Client”) agree to be bound by these Terms & Conditions.

2. Services

We provide professional audio, lighting, video, staging, and event production services, including equipment hire, delivery, installation, operation, and dismantling where agreed.

All services are subject to availability and confirmation in writing.

3. Quotations & Bookings

  • All quotations are valid for a limited period unless otherwise stated
  • A booking is only confirmed once accepted in writing and, where applicable, a deposit has been received
  • Quotations may be revised if event details change after confirmation

4. Payment Terms

  • Payment terms will be stated on the quotation or invoice
  • Deposits may be required to secure bookings
  • Final balances are payable prior to or immediately following the event unless otherwise agreed
  • Late payments may be subject to additional charges

We reserve the right to withhold services or equipment where payment terms are not met.

5. Cancellations & Changes

  • Cancellations must be made in writing
  • Cancellation charges may apply depending on notice period and costs already incurred
  • Changes to event details may result in revised pricing or availability

6. Client Responsibilities

The Client agrees to:

  • Provide accurate event information, access times, and site details
  • Ensure safe, suitable access for delivery, setup, and operation
  • Obtain all necessary permissions, licences, and approvals
  • Provide adequate power supply and weather protection where required
  • Ensure equipment is not interfered with or misused

7. Equipment Hire

  • All equipment remains the property of Pro Audio Services & Hire Ltd
  • Equipment must be used only for its intended purpose
  • The Client is responsible for equipment from delivery until collection
  • Loss, theft, or damage (excluding fair wear and tear) may be charged

8. Health & Safety

We operate in accordance with health and safety legislation and industry best practice.
The Client agrees to cooperate with risk assessments, method statements, and safe working procedures.

We reserve the right to suspend or modify services if conditions are deemed unsafe.

9. Liability & Insurance

  • We hold appropriate insurance for our services
  • We are not liable for indirect or consequential losses, including loss of profit or reputation
  • Liability is limited to the value of the services supplied, except where prohibited by law

Clients are responsible for insuring hired equipment if required.

10. Force Majeure

We shall not be liable for failure or delay in performance due to circumstances beyond our reasonable control, including severe weather, power failure, acts of God, or venue restrictions.

11. Intellectual Property

All designs, content, recordings, and technical setups remain our intellectual property unless otherwise agreed in writing.

12. Termination

We reserve the right to terminate or suspend services immediately if:

  • Payment terms are breached
  • Safety is compromised
  • The Client breaches these Terms & Conditions

13. Governing Law

These Terms & Conditions are governed by and interpreted in accordance with the laws of the applicable jurisdiction in which Pro Audio Services & Hire Ltd operates.

14. Changes to These Terms

We may update these Terms & Conditions at any time. The version in force at the time of booking shall apply.
