Privacy Policy

Who We Are

This website, proaudioservices.co.uk, belongs to Pro Audio Services & Hire Limited (“we”, “us” or “Pro Audio Services”), a company registered in England and Wales under company number 08348997. We hire, install and sell professional sound, lighting and AV equipment, and we produce live events, all from our base in Shrewsbury, Shropshire.

We are the controller of the personal information described below, which simply means we decide why it is collected and how it is used. You can reach us at info@proaudioservices.co.uk, on 01743 491991, or by post at Unit 10C, Nine Bridges Business Park, Harlescott Lane, Shrewsbury SY1 3FL, which is also our registered office.

This policy covers what we collect when you visit the site or get in touch, what we do with it, who else sees it and what rights you have over it. We have kept the language plain on purpose. If something is not clear, ask us.

What We Collect and Why

There are a few ways we end up holding personal information through this website.

Enquiries and Quote Requests

The contact form asks for your name, your email address, the service you are interested in and a message. The quote form asks for your name, email address and telephone number, the date and type of your event or project, and any extra details you choose to add.

We use what you send to reply, to understand what you need and to prepare a quote. Our lawful basis is legitimate interests (answering people who contact us about our services) and, once you have asked for a quote, taking steps at your request before a contract is made.

Both forms email your message to us, and the website does not keep a copy of form entries in its own database. To keep spam out, the forms use an anti-spam check that runs on this website itself, using hidden fields and pattern checks rather than puzzles. It does not pass what you type to an outside spam-checking service.

News by Email

Each form has an unticked box asking whether you would like to hear our latest news by email. Tick it and we may email you from time to time about our services and events. We rely on your consent for this, so you can withdraw it whenever you like, by replying to any of our emails or by telling us another way. Ticking the box is never a condition of getting a reply or a quote.

Calls, Emails and Social Media

If you phone, email or message us, including through our social media pages, we keep what you send and what we reply, so that we can deal with your request and have a record of what was agreed.

Customers and Suppliers

If you hire equipment from us, buy from us or ask us to carry out work, we hold what we need to do the job and keep proper accounts: contact details, delivery and event addresses, orders, invoices and payment records. We use these because we need them to carry out our contract with you, and because the law requires us to keep accounting records.

Technical Information

Every website receives a few technical details when a page is requested: your IP address, the type of browser and device you use, the page you asked for and the time. Our hosting provider keeps these in server logs. We use them to keep the site secure and working, which is a legitimate interest of ours, and not to identify you or build a profile of you.

Cookies and Similar Technologies

A banner on your first visit asks whether you accept cookies. Your answer is saved in a small cookie called blocksy_cookies_consent_accepted, so the banner does not ask again. It exists only to remember your choice, and it stays in your browser until you delete it or it expires.

At the time of writing, this website does not use analytics or advertising cookies. Content supplied by other companies (see below) can set cookies of its own, and we do not control those. Our Cookie Policy explains what cookies are and how to manage them in your browser.

Content From Other Companies

A few things on this site come from other companies. When your browser loads them, that company can see your IP address and some details about your device, and it may set cookies. What it does with that is covered by its own privacy policy, not ours.

  • Google Fonts. The typefaces on this site are loaded from Google’s servers. See Google’s privacy policy.
  • Vimeo. Some pages, including the home page, play a background video hosted by Vimeo, loaded in a mode that asks Vimeo not to track you. See Vimeo’s privacy policy.
  • Instagram. Where we show a feed of our Instagram posts, the pictures are loaded from Instagram, which is owned by Meta.
  • Social media and what3words. Links to our Facebook, Instagram, LinkedIn and YouTube pages, and to what3words on the Contact page, take you away from this site. We do not embed their buttons or share widgets on our pages.

Who We Share Information With

We do not sell personal information, and we do not hand it to anyone else for their own marketing.

We do rely on other organisations to run the business and the website, and they see only what they need to:

  • The company that hosts the website, and the people who build and maintain it.
  • Our email and IT providers, who handle the messages that arrive through the forms and our inbox.
  • Our accountants, bank and other professional advisers, for accounts, tax and payments.
  • Freelance crew, venues and other suppliers, where a job needs them to have your contact or event details.

We may also disclose information where the law requires it, for example to HMRC, or in response to a lawful request from the police or a court.

Sending Information Abroad

Some of the providers mentioned above, Google and Vimeo among them, are based outside the UK, including in the United States. Where personal information is sent abroad, it is covered by a safeguard that UK data protection law recognises, such as an adequacy decision or approved standard contract terms.

How Long We Keep Information

  • Enquiries and quote requests that do not lead to any work: up to two years, then we delete them.
  • Customer and supplier records, invoices and payment records: six years, because the law requires us to keep accounting records for that long.
  • News by email: until you withdraw your consent. After that we keep only a note that you opted out, so that we do not email you again.
  • Server logs: for the short period our hosting provider keeps them.
  • Your cookie banner choice: in your browser until you delete it or it expires.

If a legal claim or dispute is under way, we may keep the relevant records for longer.

Keeping Information Safe

This site is served over an encrypted (HTTPS) connection, access to its admin area is limited to the people who maintain it, and form messages go to a company mailbox rather than sitting in the website’s database. No online service is perfectly secure, so please do not send us card numbers or other sensitive details through the forms.

Your Rights

Under UK data protection law you can:

  • ask for a copy of the personal information we hold about you
  • ask us to correct anything that is wrong
  • ask us to delete your information, where there is no good reason for us to keep it
  • ask us to restrict how we use it
  • object to us using it, where we rely on legitimate interests
  • ask for the information you gave us in a portable format, where we use it under a contract or with your consent
  • withdraw your consent at any time, where we rely on it

We do not make decisions about you using fully automated systems, and we do not profile visitors to this website.

To use any of these rights, email info@proaudioservices.co.uk or phone 01743 491991. We will normally reply within one month. There is no charge, though we may need to check your identity before we release anything.

Making a Complaint

If you are unhappy with how we have handled your information, tell us first and we will try to put it right. You can also complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to This Policy

We may update this policy as the website, our services or the law change. The latest version is always on this page, and it was last updated in October 2026.
